Job duties: - Work permit and visa process for all ex-pats, ensuring all ex-pats has valid visas and timely action is taken for their extensions, registration of ex-patswithin 3 days;
- Support Finance Team with vendor documents, receipts, and other required documents for the monthly Invoice process;
- Organize timely review and reporting of incoming documents to the team, administration of control over the correctness of documents submitted for signature;
- Maintain proper filing system of all correspondences, letters, Invoices, approvals, and personal files, both on soft as well as hard copies;
- Maintain inventory of assets and conduct monthly inventory checks;
- Supplies such as stationery, snacks, and consumable materials in a timely and cost-effective manner;
- Assist other team members, when needed, within the assigned scope;
- Organize photocopying, binding, and scanning of documents, whenever required;
- Arrange ticket booking by air or by land for local as well as international travel;
- Arrange hotel/accommodation for the business trips of the team members;
- Manage arranging transportation for the team members, when required;
- Follow up with landlords on any premises-related matters and ensure the required task is completed in a timely manner;
- Regular communications and follow up with the team for the required information and documents.
Requirements:
- Documents registration and processing methods;
- Business correspondence procedure using standard forms,
- Fundamentals of ethics and aesthetics;
- Business communication rules;
- Basis of labour organization and management, administrative law and labour legislation;
- Safety and labour protection rules, fire safety requirements.
